How to Update/Edit Avails

Users may update avails and generate orders directly from the Title Pages - Avails tab. Updating avails is useful for date or time changes as well as for generating orders for our Feeds Team to process.

Users should ensure they are selecting the correct options and entering the correct data before proceeding by referring to their provider/platform's SOP (Standard Operating Procedure) or internal documentation. This workflow may not be supported by the provider or platform.

To update any existing avails, simply select the ones that need updates. A user is able to update multiple avails in bulk.

Then, in any of the selected rows, click under the "Action" column that is located at the end of the columns. i2.jpg

 

The user should then select "Update Avails"

A pop-up window will appear allowing the user to update the avail. The window should look like so:

 

In the Update Avails window, users can change the Experience ID by manually inputting the ID.

Users can also generate a new Experience ID by clicking the Generate Experience ID from Version ID box.

 

Users can also change any of the following data for an avail:

  • Platform - The streaming service or app the avail will go live on.
  • Release Type - Whether the avail is from an existing library or a new release.
  • Type - Whether the avail is EST or VOD (for more info on avail types, click here).
  • Subtype - The category or subtype for the avail if it is VOD (for more info on avail subtypes, click here).
  • Announce Date - An upcoming date for title launch.
  • ALID - The ALID may be entered if it is available.
  • Cleared For - Options to select whether it is UHD (Resolutions that are 4k or higher), HD (Resolutions that are 720p or 1080p), or SD (Resolutions lower than 720p).
  • Price Tier - Numerical code used by the retailer to define pricing for a title on platform. 
  • Announce Date - The purchase availability is announced. 
  • Pre-Order Date - Early purchase options date. 
    • Upon clicking this field, a calendar will expand, allowing users to enter in date/time information. This date can not be the same as the Start or End Date.
  • Start Date/End Date - Enter avail dates and times in standard time format. 
    • Upon clicking this field, a calendar will expand, allowing users to enter in date/time information. This date can not overlap with the Start Date.
  • Coming Soon Text - Any future date of availability or other related text.

Once users have made the necessary changes, click the blue "Update" button.

 

The information for the selected avails should now been updated. In this example, the ExperienceID was updated.

 

From here, users can generate an order based on these updates, users should re-select their updated avails and navigate to the Action dropdown menu of any selected avail.

Once the dropdown is selected, users should select the Generate Order button. This will immediately create an order(s) with that avail information populated.
