How to Create An Standard Order via Spreadsheet

In this article, we will be covering how users can create an order and its corresponding order items in bulk via a spreadsheet upload.

We will explain the process as follows:

Prerequisites

Within PDX we have 2 types of orders: TitleLite, and Standard orders. Before beginning, in order to create a standard order the title must first exist in PDX. Users can use the search tool to see if the title exists or learn how to create a new title here.

 

To begin, we will need to first download the spreadsheet from PDX. This can be done via the below steps.

  1. Go to Create Order
  2. Toggle to "By File" as the input method
  3. Click on Select
  4. Click on "PDX Order Template"

  5. A pop-up will appear that allows the user to either upload a template or download a blank template. Click on the PDX Order Template link to download.

Once downloaded, open the template file. All the columns required for a new order will be tagged with Required in Row 2. Please note that the requirements will vary based off the content type of the title. (Feature vs. TV)

Note: Users should refer to the Provider/Platform SOP and documentation to making sure requirements are fulfilled when creating Orders and Order Items.

 

Requirements

Feature film requirements:

If creating a standard order for a feature film, the below fields are required.

  • Order Type = Standard
  • Provider - Name of Provider
  • Order Date - The date the order was requested
  • Due Date - When the order needs to be completed by.
  • Platforms - Platform(s) included in the order
  • Title - Original release title
  • Title Type - Feature
  • Remove Dependency - Y/N option to have dependencies applied to the deliverable(s)
  • Billing Party - Name of who the order will be billed to

TV Series requirements

If creating a standard order for a TV series (Episodic content), the below fields are required.

  • Order Type = Standard
  • Provider - Name of Provider
  • Order Date - The date the order was requested
  • Due Date - When the order needs to be completed by.
  • Series - Original release title for Series
  • Season Number
  • Episode Number
  • Platform - Platform(s) included in the order
  • Title - Original release title
  • Series ID - Series PDSTitleID (Can be found in the series metadata page)
  • Season ID - Season PDSTitleID (Can be found in the season metadata page)
  • Title Type - Episode
  • Remove Dependency - Y/N option to have dependencies applied to the deliverable(s)
  • Billing Party - Name of who the order will be billed to

Optional Fields

Within the template, there are optional fields the user may want to utilize.

Asset Type

This refers to the Deliverable Type or Name. Please reference the Assets tab for a comprehensive list.

e.x., Feature, SDH, Metadata

Is Child of

This refers to the parent/child relationship of the deliverables.

ex., If the SDH is to be a child of the Feature, please enter Feature in this column

Language The Language the deliverable and asset will be delivered as. Must be Language Code. Please reference the Language tab for the 2-letter ISO format.
PDX Tasks

Tasks that will be assigned to the deliverable. Please reference the Tasks tab for a comprehensive list.

Notes Notes that will be assigned to the deliverable. Open field.
PO # Used by Finance during billing

 

Uploading the Spreadsheet

Once the spreadsheet is complete, the user can upload the spreadsheet to PDX by navigating back to the PDX Order Template file option in Order Details.

  1. Go to Create Order
  2. Toggle to "By File" as the input method
  3. Click on Select
  4. Click on "PDX Order Template"

  5. A pop-up will appear that allows the user to either upload a template or download a blank template. Choose the filled in order template file.

Click OK 

If any required fields are missing, PDX will return an error for the user to troubleshoot. One example would be missing required data.

The user will receive confirmation of order creation. Once the page is created, the UI will redirect the user to the order's Deliverable & Tasks page.
