Navigating the Order Items Dashboard

In this article, we will briefly cover functionality available in the Order Items Dashboard:

Navigating through the Order Item page allows users to find specific order items based on filters and lets them access data on each individual order item. 

 

Navigating Order Items

Orders Items can be navigated to in 2 different ways:

  1. The first method is by clicking on the Order Items icon in the left sidebar

  2. The second method is by clicking on a blue number on the WIP Dashboard. This will automatically apply base filters based on the selected option.

Selected Actions

Under the selected actions drop-down, a user can perform specific actions for an individual or multiple selected order items. Users must select one or more rows by clicking the checkbox on the left side. For more information on these actions, click here.

Add Order Item

Adjacent to “Selected Actions” is the Add Order Item button. 

After clicking this button, the user can add a new order item from here. The user can opt to add an order item to an existing order, or create a brand-new order entirely.

 

Filtering & Sorting

Filters allow users to help narrow down their results.

This can be done by clicking on the filter(Screen) icon on the top of the page, or by clicking on “Advanced Filters” in the upper right of the Order Items table.

Keyword

In this field, the user can enter data such as the title or order item number to find the Order Item faster amongst the list.

Advanced Filter(s)

If the user clicks the filter button to the right of Keyword; a new row / column will appear and users can filter results by various fields (e.g., Urgency, Provider, Platform, etc.) 

 

If the user chooses to use Advanced Filters, they have the ability to view all their existing filters in a centralized location:

 

Filter Preset 

Users can select any saved filter or a Default filter from this drop down option. For more instructions on how to set up Preset Filters, please click here.

 

Share Filters

Within the Order Items Dashboard, users can share filters with others to help collaborate on tasks. To share existing filters, click on the cogwheel at the top of Advanced Filters.

This will take users to the Settings Management page where all order item filters are listed. Click on the Shared With field to customize who the filter will be shared with. Please note that the recipient of the filter must from the same organization.

Blocker Order Items

To the right of the Keyword input field, and above the Order Item table, is the Blocker Order Items filter button.

Users will know it's selected if it's turned red.

This button will immediately filter to items that have a status requiring further triage before moving forward in the process. Order items displayed will have the following statuses:

  • On Hold - Client request to hold
  • Needs Source - Source asset is needed, and more research may be necessary 
  • Needs Review - The asset needs to be reviewed before proceeding.

 

Sorting the table 

Users can sort the results by clicking these buttons highlighted below.

 

CSV Exports

Users are able to export a CSV report of the current list of order items. This can be done by clicking on the export icon Screen on the top right of the page.

Please note that if the results count is high, this export will be run as a background job. This job can be tracked under Screen ⇾ My Jobs ⇾ Orders and can be downloaded from this page once completed.

 

When selecting the export icon Screenon the Order Items view, users will see the below prompt.

The three available options are as follows:

  • Order Item with Rejections – This report will contain all order items, including rejections, and is broken down at an order item level.
  • Order Item without Rejections – This report will contain all order items excluded rejections and is broken down at an order item level.
  • Deliverable Items – This report will contain all order items and deliverables and is broken down at the deliverable level.

 

Page Share

Users are able to share the link of the page with the selected filters from the below option next to CSV download button.

After selecting share button, a pop-up window with the link with appear on the screen.

Please note: The link can be bookmarked and will persist.

 

 

Notes

On each order item row, users have the ability to add, update or close out notes:

Order Item Details - Split Screen

Users also have the ability to view the order item details from the order items dashboard via a split screen.

Deliverables & Tasks

Inside the Order Items table is a column called “Deliverable & Tasks”

Here, users have the ability to click on colored gems that represent each deliverable on an order item. From the gem, users can view more details of the task, and have the ability to make changes.
